Privacy Policy

Last updated: September 2026

VIAQEX ("VIAQEX", "we", "us", or "our") operates viaqex.com (the "Site") and provides sourcing, trade-show, logistics, compliance, and import-advisory services to businesses trading with China ("Services"). This Privacy Policy explains what personal data we collect, why we collect it, and the choices you have. It applies to visitors of the Site and to clients and prospective clients who contact us.

1. Information we collect

Information you give us directly — when you submit our contact form, book a consultation, or email us, we collect your name, email address, phone/WhatsApp number, company name, and the content of your message, including any product or sourcing details you choose to share.

Information collected automatically — when you browse the Site, we (and, where you've consented, our analytics provider) may collect standard technical data such as IP address, browser type, device type, pages visited, and time spent on the Site, via cookies and similar technologies described in Section 4.

2. How we use your information

We use the information above to: respond to enquiries and provide quotes; deliver the Services you engage us for, including coordinating with suppliers, freight forwarders, customs house agents, and certification bodies on your behalf where you've authorised us to; improve the Site and our content; and comply with applicable legal and regulatory obligations. We do not sell your personal data to third parties.

3. Who we share information with

To deliver Services you've engaged us for, we may share relevant details with third parties directly involved in your transaction — for example, a supplier you've asked us to negotiate with, a licensed Customs House Agent (CHA) handling your clearance, or a freight forwarder booking your shipment. We share only what's necessary for that specific engagement, and we do not share your data with unrelated third parties for their own marketing purposes.

4. Cookies & analytics

The Site uses two categories of cookies. Essential cookies are required for the Site to function (for example, remembering your cookie preference) and don't require consent. Analytics cookies help us understand how visitors use the Site so we can improve it; these are only set after you actively accept them via the cookie banner. You can withdraw analytics consent at any time by clearing your browser's local storage for this Site and reloading the page, which will show the consent banner again.

5. Data retention

We retain enquiry and client data for as long as needed to provide the Services, maintain business records, and meet legal or tax obligations, after which it is deleted or anonymised.

6. Your rights

Depending on your location, you may have the right to access, correct, or request deletion of your personal data, and to object to or restrict certain processing. Indian residents have rights under the Digital Personal Data Protection Act, 2023. To exercise any of these rights, email us at legal@viaqex.com and we will respond within a reasonable time.

7. Data security

We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Children's privacy

The Site and Services are intended for business use by adults. We do not knowingly collect personal data from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
