Pre-Shipment Inspection Checklist

The last checkpoint before your goods are loaded onto a container — and the last moment a quality problem is still the supplier's to fix, not yours.

All Templates

Quantity & packing

  • Carton count matches the purchase order quantity.
  • Units per carton matches spec; random cartons opened and counted, not just the top layer.
  • Carton dimensions and weight match what was declared for freight booking.
  • Packaging is adequate to survive sea/air transit — no crushed corners, adequate cushioning.

Product conformity

  • Random sample pulled per your agreed AQL and checked against the approved reference sample.
  • Color, material, dimensions, and finish match spec — not just "close enough."
  • Function tested where applicable — does it actually work as intended, not just look right.
  • Any required certification marks are present and match your compliance requirement (BIS, WPC, etc.).

Labelling & documentation

  • Legal Metrology labelling present: net quantity, MRP, manufacturer/importer details, country of origin.
  • Carton markings (shipping marks, carton numbers) match the packing list.
  • Commercial invoice and packing list drafts reviewed for accuracy before finalisation.

Sign-off

  • Written inspection report with photos, kept on file before authorising shipment.
  • Any failed items documented with agreed remedy (rework, replace, discount) before final payment is released.
  • Explicit "cleared to ship" confirmation given only after the above is resolved — not assumed.

See how this fits into the full order timeline in the Complete Import guide.
